Who's Who in a Workspace
Closot workspaces can have several types of users, each with a distinct set of permissions and capabilities. Understanding the difference helps you assign the right roles when onboarding teammates and external collaborators.
User Types
Members
Members are the standard user type for people inside your organization. They can read, edit, comment on, and create pages across the workspace, subject to the permissions set on individual pages and workareas.
Guests
Guests are external collaborators — people outside your organization who need access to specific content without being part of the workspace as a whole.
Key limitations for guests:
- Cannot access workspace-wide settings
- Cannot add members to the workspace
- Cannot manage integrations
- Must be invited to individual pages — they cannot be granted workspace-wide access
- May eventually request to be upgraded to member status
Workspace Owners
Workspace owners have full administrative control over the workspace. They can:
- Manage all settings
- Delete pages and content
- Modify other users' roles and permissions
- Every workspace must have at least one workspace owner at all times
Role Management
Workspace owners or membership admins can modify user roles at any time:
Settings → People (or Members) → select the appropriate tab → open the dropdown next to a user's name → select a new role
To convert a guest into a member: Settings → People → Guests tab → check the boxes next to their names → click Upgrade to member.
