Export Your Content

Whether you need an offline backup, a shareable document for someone outside Closot, or a full workspace archive, Closot's export tools have you covered. You can export individual pages in multiple formats, print directly from a browser, or download your entire workspace content in one go.


Export as PDF

PDF is the most portable format — ideal for sharing finalized documents, reports, or proposals with people who don't use Closot.

Desktop

  1. Click ••• at the top right of the page
  2. Select Export
  3. Choose PDF

Available PDF options:

  • Include content — export everything, or exclude files and images to reduce file size
  • Page format — choose your paper size
  • Scale percent — adjust the zoom level of the exported content
  • Include subpages — export all nested subpages as part of the same PDF

Mobile

  1. Tap ••• at the top of the page
  2. Tap Export
  3. Select PDF and configure your format and page settings

If a PDF export fails for any reason, Closot will automatically fall back to exporting the page as HTML instead.


Export as HTML

HTML exports download as a ZIP file containing organized folders — one for the page itself and subfolders for any subpages and their associated assets (images, attachments).

HTML exports include both page-level and block-level comments, whether resolved or unresolved.

Desktop

  1. Click •••Export → choose HTML

Mobile

  1. Tap •••Export → select HTML

Export as Markdown & CSV

  • Non-database pages export as Markdown files (.md)
  • Full-page databases export as a CSV file, with any subpages inside them exported as Markdown

Callout blocks are exported as HTML within the Markdown file.

Desktop and Mobile

Same navigation as other formats: •••ExportMarkdown & CSV


From a Browser

  1. Open the page in your web browser
  2. Go to FilePrint
  3. Select your printer, or choose Save as PDF to generate a print-ready PDF

From the Desktop App

The Closot desktop app does not include a direct print function. To print from the desktop app:

  1. Export the page as a PDF
  2. Open the PDF in any PDF viewer
  3. Print from there

Full-page databases cannot be printed directly. Export the database first, then print the exported file.


Export Your Entire Workspace

When you need a complete backup of everything in your workspace, use the full workspace export.

Location: Settings → WorkspaceGeneral → click Export all workspace content

What to expect:

  • Processing can take up to 30 hours depending on your workspace size
  • When the export is ready, you'll receive an email with a download link
  • The download link expires after 7 days — download it promptly
  • A sitemap (index.html) is included so you can navigate the exported content
  • Only content you have access to is exported — private pages belonging to other members are excluded
  • PDF format for workspace exports is available

Important Notes and Limitations

  • Form view databases cannot be exported. Switch to Table view and export from there instead.
  • Custom emojis do not render in PDF exports.
  • Windows path length limit — On Windows, file paths longer than 260 characters can cause ZIP extraction to fail. To work around this:
    • Uncheck Create folders for subpages in the export options, or
    • Use a tool like 7-Zip for extraction instead of Windows Explorer
  • Large exports may not download immediately — Closot will send you an email with a download link instead.
  • Database views — Only the current view and the default view are available for export. You cannot export all views of a database simultaneously.
