Connect Calendar to Custom Agents
Calendar integration brings scheduling intelligence directly into your Custom Agents. Once connected, an Agent can read your schedule, prepare meeting briefings, handle invitations, resolve conflicts, and automate repetitive calendar tasks — either on a trigger or through a direct chat request.
This connection works with Closot Calendar, Google Calendar, and Apple Calendar.
What Your Custom Agent Can Do with Calendar
| Action | Description |
|---|---|
| Read events | Retrieve details about existing calendar events — title, time, description, attendees, and location |
| Create event | Add a new event with specified title, time, description, attendees, and location |
| Update event | For events you've organized, modify details like title, time, description, and conferencing settings |
| Add/remove attendees | For events you've organized, update the guest list by adding or removing participants |
| Cancel event | Remove an event from your calendar and notify attendees of the cancellation |
| Send calendar invite | Generate and deliver invitations to participants for a specific event |
| Find time with participants | Identify and recommend available windows for scheduling across multiple attendees, even when conflicts exist |
| RSVP to an event | Alert you about pending RSVPs and respond to calendar invitations on your behalf |
How to Connect Calendar to Your Custom Agent
- Chat with your Agent and give it clear direction on how you want it to handle calendar events. (Alternatively, connect manually via the Agent's Settings → Tools & Access → + Add connection → Calendar → Connect.)
- Go to Settings → Tools & Access
- Select the calendar(s) you want your Agent to have access to
- Set the permission level for each connected calendar: Read or Read and Write
- Choose whether the Agent should Require confirmation before executing any action
- Test the connection — if the Agent's behavior isn't what you expected, chat with it to refine the instructions
Specific instructions produce far better outcomes. Instead of "manage my calendar," try: "Every morning at 7:30am, review today's meetings and send me a summary with attendees, times, and any prep I need."
Calendar Triggers in Custom Agent
Add a calendar-based trigger from your Custom Agent's Settings.
- Under Triggers, click + Add connection → Calendar → Connect
- Under Calendar, choose from the following trigger types:
- Event created — Fires when a new event is added to your calendar
- Event updated — Fires when event details change (time, attendees, location, etc.)
- Event cancelled — Fires when an event is removed from your calendar
- Choose the calendar(s) the trigger should monitor
- Optionally add a filter to narrow which events activate the trigger — each trigger can be filtered by title, description, location, owner, or all-day status
Calendar Permissions in Custom Agent
When connecting Calendar, you configure exactly what the Agent is permitted to do:
| Permission | What it allows |
|---|---|
| Read | View and retrieve calendar event information without making any changes |
| Read and write | View, create, modify, and cancel events in the calendar |
| Require confirmation | User must approve or cancel every action before it executes. Toggle off to let the Agent act without approval. |
| Set as default | If you have multiple calendars in one account, designates which one the Agent uses by default. If you connect multiple calendar accounts, each can have its own default calendar. |
Sharing Custom Agents with Calendar Connections
When you share a Custom Agent that has a Calendar connection, the Agent will show events based on the permissions of the person who authenticated the connection — not the person using the Agent.
For example, if the connected user has a private event with restricted visibility, anyone with Can view and interact access to the Agent or higher will be able to view that event through the Agent.
Because of this, review your calendar connection carefully before sharing an Agent broadly with your team.
Example Instructions for Custom Agents
Here are four practical setups you can adapt directly as Agent instructions.
Daily Schedule Brief
Get a structured summary of your day's meetings every morning before you open your first app.
Tell your Agent: "Every weekday at 7:30am, review my calendar for the day. List each meeting with the attendees, time slot, and any prep notes I should be aware of. Send me a notification with the full summary."
Meeting Prep Page Creator
Automatically generate a structured prep page in your workspace whenever an important external meeting lands on your calendar.
Tell your Agent: "When a new external meeting is added to my calendar, create a page in my Meetings database. Include the meeting title, attendee names, scheduled time, and blank sections for prep notes and action items."
Scheduling Coordinator
Let the Agent handle scheduling requests that come in through Slack — checking availability and creating events automatically.
Tell your Agent: "When someone requests a meeting via Slack, check my calendar for open slots, find a time that works, create the event, and send calendar invites to all participants."
Multi-Attendee Scheduler
Eliminate the back-and-forth of finding meeting times across multiple team members.
Tell your Agent: "When I ask you to schedule a meeting with a group, use 'Find time with participants' to check everyone's availability, suggest the three best options, and create the event once I confirm which one to use."
Troubleshooting
If your Agent encounters errors, use the thumbs-down feedback in the run and then chat with the Agent to diagnose the issue. Then try the following:
Connection Errors
Symptom: Can't find Calendar in Tools & Access, the Calendar connection dropped unexpectedly, or the Agent can't see events.
- Confirm that Calendar is connected in Tools & Access
- Disconnect, clear browser cookies, and reconnect with the correct account
- Verify you selected the right calendar during connection setup
Trigger Errors
Symptom: The Agent isn't running when a calendar event changes, is running multiple times per event, or is not reading event details correctly.
- Open the Activity tab to check whether the trigger is firing or firing but failing
- Verify the Calendar connection is still active in Tools & Access
- Test with a simple new event to isolate the issue before testing complex scenarios
Trigger Firing for the Wrong Calendar
Symptom: The trigger is activating for events on a calendar you didn't intend.
- Open Triggers and confirm the trigger is pointed at the correct calendar, especially if you have multiple calendars connected
